Welcome to BillDecode. These Terms of Service ("Terms") govern your use of the BillDecode website located at billdecode.com and the services provided through it (collectively, the "Service"). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use the Service.
1. Description of Service
BillDecode is an AI-powered bill analysis tool that allows you to upload a photo or image of a medical bill, hospital bill, dental bill, or insurance Explanation of Benefits (EOB). The Service uses artificial intelligence to:
- Explain line items and charges in plain, understandable language
- Identify potential overcharges, duplicate charges, and billing errors
- Provide an overall assessment score for the bill
- Generate template dispute letters that you can use as a starting point for contacting your billing department
2. Important Disclaimers
2.1 Informational Purposes Only
The Service is provided for informational purposes only. BillDecode is not a substitute for professional financial advice, legal advice, medical billing expertise, or medical advice. The analysis provided by our AI should be treated as a helpful starting point, not as a definitive determination of billing accuracy.
2.2 AI-Generated Results
All analysis results are generated by artificial intelligence (Anthropic's Claude AI). While we strive for accuracy, AI-generated results are estimates and interpretations that may not be 100% accurate. The AI may misread characters, misinterpret charges, or provide incomplete analysis. Factors that can affect accuracy include image quality, bill formatting, handwritten notes, and the complexity of billing codes.
2.3 Verify with Your Billing Department
You should always verify the findings from BillDecode with your healthcare provider's billing department, your insurance company, or a qualified medical billing advocate before taking any action. BillDecode is not responsible for decisions you make based on the analysis provided.
2.4 Dispute Letters
Dispute letters generated by BillDecode are templates intended as a starting point. They may require customization, additional details, or review by a qualified professional before submission to your billing department or insurance company. BillDecode does not guarantee that any dispute letter will result in a billing adjustment or favorable outcome.
3. Eligibility
You must be at least 18 years of age to use the Service. By using the Service, you represent and warrant that you are at least 18 years old and have the legal capacity to agree to these Terms.
4. Pricing and Payment
4.1 Per-Scan Pricing
BillDecode charges $4.99 per scan. Each scan consists of the analysis of one bill image. Payment is collected before the analysis is performed.
4.2 Payment Processing
All payments are processed securely through Stripe, a PCI DSS Level 1 compliant payment processor. BillDecode does not store your credit card number or payment credentials. By making a purchase, you agree to Stripe's Terms of Service.
4.3 Refund Policy
Scans are generally non-refundable once the AI analysis has been delivered. However, we will issue a full refund in the following circumstances:
- The AI was unable to process your image (e.g., the image was unreadable, corrupted, or not a supported format)
- A technical error on our end prevented the analysis from being delivered
- You were charged multiple times for the same scan due to a system error
To request a refund, please contact us at support@billdecode.com with your transaction details. Refund requests must be submitted within 30 days of the original transaction.
5. Acceptable Use
You agree to use the Service only for its intended purpose of analyzing your own bills. You agree not to:
- Upload images that you do not have the legal right to share or analyze
- Use the Service for any unlawful, fraudulent, or harmful purpose
- Attempt to reverse-engineer, decompile, or extract the underlying AI models or algorithms
- Interfere with or disrupt the Service or its infrastructure
- Use automated tools, bots, or scripts to access the Service without our prior written consent
- Resell, redistribute, or commercially exploit the Service or its analysis results without authorization
- Upload content that is illegal, obscene, or unrelated to billing documents
We reserve the right to suspend or terminate access to the Service for any user who violates these acceptable use guidelines.
6. Intellectual Property
The Service, including its design, features, functionality, code, and branding, is owned by BillDecode and is protected by copyright, trademark, and other intellectual property laws. You retain ownership of any bill images you upload (which, as noted in our Privacy Policy, are not stored). The analysis results generated for you are provided for your personal, non-commercial use. You may use the analysis results and dispute letter templates for your own billing disputes, but you may not commercially redistribute them.
7. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:
- The Service is provided on an "AS IS" and "AS AVAILABLE" basis without warranties of any kind, whether express, implied, statutory, or otherwise. We disclaim all warranties, including but not limited to warranties of merchantability, fitness for a particular purpose, accuracy, and non-infringement.
- BillDecode, its owners, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of the Service.
- Our total aggregate liability for any claims arising from or related to the Service shall not exceed the amount you paid to BillDecode in the twelve (12) months preceding the claim.
- We are not liable for any actions you take or fail to take based on the analysis provided by the Service, including any financial losses, missed deadlines, or unsuccessful billing disputes.
8. Indemnification
You agree to indemnify, defend, and hold harmless BillDecode, its owners, employees, and affiliates from any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising from your use of the Service, your violation of these Terms, or your violation of any rights of a third party.
9. Service Availability
We strive to keep the Service available at all times, but we do not guarantee uninterrupted or error-free operation. The Service may be temporarily unavailable due to maintenance, updates, third-party service outages (including Anthropic's AI service or Stripe's payment processing), or other factors beyond our control. We are not liable for any losses resulting from Service downtime.
10. Modifications to the Service and Terms
We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time without prior notice. We also reserve the right to update these Terms at any time. If we make material changes, we will post the revised Terms on this page with an updated "Last updated" date.
Your continued use of the Service after any changes to these Terms constitutes your acceptance of the updated Terms. If you do not agree with the revised Terms, you must discontinue your use of the Service.
11. Governing Law and Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of the United States. Any disputes arising from or related to these Terms or the Service shall first be attempted to be resolved through good-faith negotiation. If negotiation fails, disputes shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association.
You agree that any dispute resolution proceedings will be conducted on an individual basis and not as a class action, class arbitration, or any other representative proceeding.
12. Severability
If any provision of these Terms is found to be invalid, unenforceable, or illegal by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it valid and enforceable while preserving its original intent.
13. Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and BillDecode regarding your use of the Service. These Terms supersede any prior agreements, communications, or understandings, whether written or oral, relating to the Service.
